The processing of delivery call-offs is widespread in the automotive industry. For you as a supplier, working according to this principle can nevertheless be challenging. SAP systems offer too little transparency and only limited functions for monitoring and controlling delivery call-offs.

Long-term customer relationships are a great thing - especially if a customer repeatedly orders goods and materials from you, as this means stable sales. So that you are not surprised by individual orders every time, you can alternatively arrange processing via delivery call-offs.

You then receive information - usually with a little lead time - about what your customer will require in the future. You benefit from the security and predictability and have a good basis for your own production and purchasing planning.

Delivery call-offs (LAB) are there to transmit your customers' orders and commissions to you in a standardized way. This principle is intended to simplify and speed up communication

Delivery call-offs usually contain

  • Divisions into individual orders
  • Order quantities and associated Delivery dates
  • Progress figures (cumulative quantity of materials/products already called off)
  • In addition, there are often so-called Detailed call-offs (FAB)which contain precise information on the next delivery and which are usually binding. In such cases, delivery call-offs only have a preview function.

Delivery call-offs are generally based on purchase agreements made between you and your customers.

Automotive industry - delivery call-offs are the standard here

Despite all the advantages, it must be said that it is usually not a voluntary decision to work with delivery call-offs. In the automotive industry, this approach is usually required by car manufacturers. Suppliers must then ensure that the processes and systems function smoothly and correctly. 

The German Association of the Automotive Industry (VDA), among others, has precise recommendations on how to work with delivery call-offs in detail. 

Where are there problems with delivery schedules with SAP?

SAP systems have their own file format for incoming and outgoing messages, known as IDocs. Delivery call-offs are also transferred to the system as IDoc messages, even if you usually receive these and other messages from your customers in standardized EDI formats such as EDIFACT. To do this, you first need an EDI converter that creates IDocs from the EDI messages. For a correct and complete transfer of the data, we also recommend Mappings

SAP systems are fundamentally capable of supporting the delivery call-off process, but there are always problems. A major problem is that users have to ensure that the data is transferred to the SAP system completely and correctly, that the delivery call-offs correspond to the agreed quantities and that the quantities called off can be delivered at the right time. The more customers you serve as a supplier, the more complicated it becomes to check and process all incoming delivery call-offs for each material from each customer in a timely manner.

The future of IDoc messages

SAP is also increasingly relying on message formats other than its own standard IDoc format. Under SAP TM and N-JIT, XML soap messages are used instead.

Do you know these challenges?

The standard SAP system lacks functions with which you can check, monitor and process delivery call-offs.

You receive numerous delivery call-offs as IDoc messages in your SAP system, but it is very time-consuming to monitor, change and process the data records.

You have agreed with your customers which quantities can be called off, but your SAP system is not able to check the call-offs for such agreements.

You have to fulfill various requirements (including individual orders or call-offs), but cannot accurately assess whether your capacities are sufficient.

And what about orders?

Even if you do not or only partially work with delivery schedules and mostly receive individual orders or purchase orders instead: SAP systems only offer limited options for processing, monitoring and incorporating IDocs here too. Even if there are usually no framework contracts for this processing, you need full transparency in order to be able to decide whether the incoming messages are complete and correct, whether they violate quantity specifications or whether they can fulfill the requirements at all.

In the case of agreements on quantities in call-offs, the SAP standard offers only a few means of monitoring and intercepting deviations from the agreed tolerance limits. The available tolerance profiles are generally not sufficient.

Problems with the SAP standard

SAP standard comparisons cannot evaluate future quantity changes, retroactive creeping increases and decreases in requirements. In addition, only the comparison of exactly two call-offs within a scheduling agreement is possible and there is no targeted data analysis. The consequences can lead to delivery problems, delivery failures or overproduction.

Problems with the SAP standard

The standard EMFOR monitor only contains limited selection options: Sales organization, distribution channel, division or material number are missing. Incoming IDocs that cannot be incorporated are not marked; there are no jumps to control tables or the customer master. Archived IDocs can only be viewed in separate transactions provided for this purpose. This means a considerable amount of extra work in the day-to-day handling of delivery and JIT delivery schedules.
